ABOUT THE ROLE

This role requires the successful applicant to demonstrate good attention to detail. The ability to prioritise competing priorities have excellent communication skills and the ability to develop effective working relationships both internally and externally. You will contribute to project work in the team and be a key point of contact for the section. 

You will be responsible for:

  • Providing administrative support and co-ordination of work for the Ships Inspections team including;
  • Monitoring and allocating incoming emails that are received through Ship Inspection mailboxes to team members.
  • Coordinating the issuing of statutory certificates and letters including Certificates of Survey (CoS), Australian Certificate for the Carriage of Livestock (ACCL), approvals, Exemptions, Letters of Acceptance, waivers and Maritime Labour Convention (MLC) decisions.
  • Lead the written development and maintenance of procedural guidelines, forms and documents for Ship Inspections, including Instructions to Staff on AMSAs intranet and SharePoint sites.
  • Coordinate and prepare documentation relating to the performance of foreign flagged vessels. Maintain records for Australia regulated ships and inspectorates.
  • Organise domestic travel and accommodation and processing invoices.

SKILLS AND EXPERIENCE

To be successful in this position, you will have the following skills and experience:

  • Experience in providing administrative support and coordinating work for a technical team,
  • The ability to gain technical understanding of ships and marine operations.
  • Experience working independently to co-ordinate work across different parts of an organisation.
  • Experience engaging with stakeholders and customers on technical matters.
  • Highly competent in the use of Microsoft applications, Content Manager, SharePoint and other enterprise IT solutions.
  • Experience with financial coordination tasks including invoicing and assisting with budgeting.
  • Experience maintaining and updating policy and procedures.
